About group responsibles
Group responsibles have access to the assessmentQ reporting of their assignments (i.e. the assignments they created themselves or the assignments which they have been given access to), but they can only see the results of their own users (i.e. the users that are in a group for which they are responsible).
Assigning group responsibles
As an administrator, you manage the group responsibles in your assessmentQ environment. To make a user a group responsible, you need to do the following:
- First, you must ensure that this user has access to the appropriate reporting modules in the assessmentQ backoffice.
You can do this by giving the user the standard role of Group responsible. More info.
- Second, you must define for which users the group responsible is allowed to see the results.
Therefore, you need to add this user as Group responsible to one of more Groups of participants. You can do this in different ways:

- Via Users: Edit the user and make the user responsible for one or more groups.
- Via Groups: Edit the group and add the user as group responsible.
- Via Excel import: If you want to add group responsibles for multiple groups, you can use an Excel import.

- Third, you must give the group responsible access to the assignments for which he is allowed to see the results. More info.
This last step is only necessary in case the group responsible does not have access to assignments. By default, the group responsible will have access to the reporting of his own assignments.
Procedure via Users
Proceed as follows to make a user responsible for a group:
- Go to User management
> Users.
- Search for the user you want to make responsible for a group and click on that user.
Result: The detail page of the user is displayed. - Open the tab Responsible for.
Result: You see the list of groups for which the user is already responsible. - Click +Add in the top right corner.
Result: The Add groups popup is shown. - Search for the group of your choice.
- Select the group and click OK in the bottom right corner.
Result: A message is displayed confirming that the user has been added as group responsible to the group of your choice.Note: For group responsibles to have access to the assessmentQ reporting modules, they also need to have the role of Group responsible. More info.
Proceed as follows to remove a responsible from a group:
- Go to User management
> Users.
- Search for the user you want to remove as group responsible and click on that user.
Result: The detail page of the user is displayed. - Open the tab Responsible for.
Result: You see the overview of the groups for which the user is already responsible. -
Click on the three dots on the right side of the group from which you want to remove the user as group responsible and select Remove group.
Result: A confirmation screen is displayed. -
Click Yes in the confirmation screen.
Result: A message is displayed confirming that the user has been removed as group responsible.
Procedure via Groups
Proceed as follows to add a group responsible to a group:
- Go to User management
> Groups.
- Search for the group to which you want to add a group responsible and click on that group.
Result: The detail page of the group is displayed. - Open the tab Group responsibles.
Result: You see the overview of the group responsibles for this group. - Click +Add in the top right corner.
Result: The Add group responsibles popup is shown. - Search for the user of your choice.
- Select the user and click OK in the bottom right corner.
Result: A message is displayed confirming that the user has been added as group responsible to the group of your choice.Note: For group responsibles to have access to the assessmentQ reporting modules, they also need to have the role of Group responsible. More info.
Proceed as follows to remove a user as group responsible from a group:
- Go to User management
> Groups.
- Search for the group from which you want to remove a group responsible and click on that group.
Result: The detail page of the group is displayed. - Open the tab Group responsibles.
Result: You see the overview of the group responsibles for this group. -
Click on the three dots on the right side of the responsible you want to remove for this group and select Remove user.
Result: A confirmation screen is displayed. -
Click Yes in the confirmation screen.
Result: A message is displayed confirming that the user has been removed as group responsible.
Procedure via Excel import
When you want to add group responsible(s) to multiple groups, it is recommended to use the Excel import function.
Proceed as follows to import groups with group responsibles:
- Go to User management
> Groups.
- Click on the three dots in the upper right corner.
- Select Import groups.
Result: The Import groups pop-up appears. - Drag your Excel to the drop zone or click on Browse and select the Excel file from your device.
The Excel file should contain the following columns:- ID (mandatory)
- Group name
- Description (can remain empty)
- Group responsible (optional)
Tip: Click on Download a sample file to have an example of the Excel format you need to use.
Result: The Import groups wizard appears, showing a preview of the groups in your import file in the tabs:
- New groups: new groupes that will be created.
- Existing groups: groups that already exist and that will be updated after the import.
- Not imported: groups that cannot be imported, usually because the Excel contains incomplete or invalid information.
- Check the information and click Save.
Result: The groups are imported and the groups responsibles are added to the groups.
