Background
As a scheduler, you have two preparatory tasks for an oral exam:
- create session access codes
- create grading tasks, i.e. assign one or more graders to each session.
In this article, you will find all the information on how to create and edit the grading tasks. For more info about creating access codes, see Access codes.

Status of grading tasks
Grading tasks can have 4 statuses:
- Draft: the grading task has been created but has not been published yet, so the graders cannot start yet.
- Published: the grading task has been published and is available for graders.
- Live: the graders have started grading.
- Closed: the grading task has been closed by the scheduler and is no longer available for graders.
Creating a grading task
Note: The prerequisite to start creating the grading tasks is that you have created sessions for the oral exam. For more info, see Access codes.
Proceed as follows to create a grading task:
- Go to Grading > Grading tasks.
- Open the tab Created by me.
Result: You see the list of grading tasks you created. - Click the Add button in the top right corner.
- Enter the name for the grading task in the breadcrumb at the top.
- Click Add sessions.
Result: The Add sessions pop-up appears. - Use the search and filter bar to easily find the sessions you want to add to the grading task.
- Select the sessions of your choice and click Add.
Notes:
- You can only select sessions that need to be graded and that are not part yet of a grading task.
- You can add a maximum of 1000 sessions.
Adding graders to the sessions in a grading task
Proceed as follows to assign graders to the sessions in a grading task:
- Go to Grading > Grading tasks.
- Open the tab Created by me.
Result: You see the list of grading tasks you created. - Use the search and filter bar to more easily find the grading task for which you need to assign graders.
- Click on the grading task to open it.
Result: You see the list of sessions that need to be graded in this grading task. By default, one grader column is available. - In the Grader column:
- Optionally, click on the Instruction icon and fill in an instruction for the graders (max. 100 characters).
The graders will see this instruction when opening their grading task. - Optionally, click on the Deadline icon and fill in the deadline by when they should complete the grading task.
- Click the Live icon if you want the graders to perform the grading tasks live, i.e. during the oral exam and synchronised with the participant's answers.
- For each session, select a grader from the dropdown.
Note: In the dropdown, you will only see users who have a Grader role.
- Optionally, click on the Instruction icon and fill in an instruction for the graders (max. 100 characters).
- If you want the sessions to be graded by more than one grader, click the icon to add an extra grader column.
- Repeat steps 5 and 6 until you have added all the graders you need.
Notes:
- In the first grader column, you need to assign a grader for all sessions. In additional columns, it is not mandatory to assign a grader for all sessions.
- You can assign a maximum of 10 graders per session.
- Click Publish.
Result: The status of the grading task changes to Published. Grading tasks are created for each grader and for each session they need to grade. Graders will see their tasks in the Grading tasks module.Note: As a scheduler you need to inform your graders that new grading tasks are available as the graders are not notified by mail.
Editing a grading task
It may be necessary to make changes to a grading task. As long as the grading task has the status Draft or Published, there are no editing restrictions. You can:
- change the name of your grading task.
- change the grader options (Live grading, Instruction, deadline).
- add sessions
- remove sessions
- add grader columns
- remove grader columns
- assign, update, or remove the grader of a session.
If the grading task has the status Live, some changes are no longer possible:
- It is not possible to change the Live option.
- You can no longer add or remove sessions.
- Removing a graders column is only possible if the graders in this column did not yet start grading the corresponding sessions.
- You cannot remove a grader from a grader column in case the grader started grading the session. You can, however, replace the grader with another grader. The newly added grader will see the grades of the previous grader and can still override these grades.
Note: It is not possible to make changes to grading tasks that have the status Closed.
Procedure
Proceed as follows to edit a grading task:
- Go to Grading > Grading tasks.
- Open the tab Created by me.
Result: You see the list of grading tasks you created. - Use the search and filter bar to more easily find the grading task you want to edit.
- Click on the grading task to open.
Result: You see the session overview and their graders. - Click Edit in the top right corner.
- Make the necessary changes.
- Click Save.
