About portal schedules
As a scheduler, you can deliver your assignments to your participants via schedules on the portal.
The process of working with schedules on the portal typically includes the following steps:
- As a scheduler, you create a schedule on the portal:
- You define the delivery settings, including the assignment(s), the participants (individual users and/or groups) and the availability period of the schedule. You can optionally enable proctoring for your assignment(s) and / or send e-mail notifications to your participants.
- You can optionally publish the results on the participant's portal.
- You can optionally add a review period on the participant's portal.
- The participants sign in to the assessmentQ portal:
- They open their schedule on the assessmentQ portal and take their assignment(s).
- Depending on the schedule settings, they can review their assignments and/or view their results after finishing the assignments.

Creating a portal schedule
To create a schedule, proceed as follows:
- Go to Scheduling > Schedules.
Result: You see your schedule overview page. - Click on + Add in the top right corner.
Result: The Add schedule popup appears. - Select the delivery type "On the portal".
Result: The schedule detail page is shown. - Add the title of your schedule in the breadcrumb trail. Note that this title will be visible to the participants.
- In the properties pane at the right:
- add an image to your schedule.
- optionally, add one or more tags to your schedule.
Note: The image and the tags will be shown on the participant's portal.
- In the Delivery lane:
- Add the assignment(s). More information.
- Add the participants. More information.
- Define the availability period. During this period, the assignments in the schedule will be available on the participant's portal.
- Optionally enable proctoring, see Enabling proctoring for the assignment in a schedule.
- Optionally add e-mail notifications, see Sending an e-mail notification for schedules below.
Notes:- You can only add approved or live assignments to a schedule.
- The order of the assignments in a schedule determines the order in which they will be shown to the participants. If you want to change the order in which the assignments should appear to the participants, see Changing the order of assignments in a schedule.

Optionally make the results available on the portal. More information.
Note: If you don't see the Results lane, it means that the Results portal setting has not been activated for your assessmentQ environment. Please contact your assessmentQ administrator.
- Optionally, define a review period. More information.
- Click on Publish in the top right corner to publish the schedule.
Result: The schedule detail page is shown. A header bar is added at the top of your schedule page. The schedule is added to the participant's portal.
Sending e-mail notifications for schedules
As a scheduler, you can send an e-mail notification to the participants to inform them that:
- a schedule will become available on their portal.
- a schedule will become unavailable on their portal.
- the results of a schedule will become available on their portal.
Note: Every minute, a check is made whether e-mails should be sent. The deviation from the selected time may not exceed 1 minute.
When creating a portal schedule
To send an e-mail notification to the participants of a schedule, proceed as follows:
- In your schedule, click on E-mail notifications at the bottom of the Delivery lane.
Result: The pop-up E-mail notifications for the delivery appears. - Click
to add an e-mail notification.
Result: A default e-mail notification is proposed. - Define:
- for which event you want a notification to be sent (The schedule is available, The schedule expires, The results are available).
Note: For the result e-mail notification to be sent, the portal setting Show results needs to be activated (more information). When this portal setting is not activated or turned off again, the e-mail notifications for results will not be sent even when the scheduler defined a result notification for a schedule.
- when you want the notification to be sent.
- who receives the notification (all participants or participants who did not start)
- for which event you want a notification to be sent (The schedule is available, The schedule expires, The results are available).
- Click OK.
Result: The notification has been added.
When adding participants to a live schedule
If you add new participants to a live schedule and you want to notify these newly added users via e-mail, proceed as follows:
- Add the users and / or groups to your schedule and confirm your changes. For more information, see Adding participants to a schedule.
- In the confirmation pup-up, select Notify new users via e-mail.
- Click Save.
Result: The user(s) or group(s) are added to the schedule. The e-mail notifications are sent to the newly added participants.
Accessing schedules on the portal
For your participants to have access to the schedules on their portal, they need to sign in to your assessmentQ environment:

After signing in, the participants see an overview of their schedules on the portal home page. When they click on a schedule, they see the schedule detail page with their assignments.
- Within the availability period of the schedule, the participants will be able to take the assignments in their schedule. Exams can be taken only once. Exercises can be taken multiple times.
- In case a review period has been set, the participants can view their assignments in read-only mode.
As a scheduler, you can define whether and when the results of a schedule are published on the participants' portal (more info). When the results are published, the participants can consult their results via the Results button on the portal and drill down into their personal reports.
Notes:
- The portal settings determine what the participants will see on their portal homepage. For example, the upcoming schedules, the expired schedules, the results button and the search and filter options are only shown to the participants when activated in the Portal settings. More info.
- Schedule tags are always shown on the participant's portal, but filtering on tags will only be possible if the Search and filter setting is enabled for the portal.
