Background
To create a content review task, you need to have the proper permissions. For more information, see Getting access to the content review module.
Content review tasks can have 3 statuses:
- Draft: the task has been created but has not been published yet, so the reviewers cannot start yet.
- Live: the task has been published and is available for reviewers.
- Closed: the task has been closed by the author and is no longer available for reviewers.
Note: The deadline set for a review task is communicated to reviewers via e-mail, but does not automatically trigger its unavailability for reviewers. Authors have to close a review task manually. However, when a reviewer has marked the review task as completed himself, he cannot access it anymore, even when the task has not been closed yet by the author.
Procedure to create a review task
Proceed as follows to create a review task:
- Go to Authoring > Content review.
Result: You will see the list of review tasks you created on the tab "Created by me". - Click the Add button in the top right corner.
Result: You see the detail screen of the review task. - Enter the name of your task, the instruction for your reviewers, the deadline for the review, select one or more reviewers, and select the assignment template.
Note: It is important to select the correct assignment template to make sure that your reviewers see the items in the same way and with the same navigation options, supporting tools, etc as the participants.
- Click the Add button in the top right corner to add the items that have to be reviewed.
Result: The Add items popup appears. - Search for or browse to and select the items that have to be reviewed, and click Add to review task.
Result: The items are added to the review task. The status of the review task is still "Draft". The items are shown in the order of the item selection.
Note: You cannot select folders in the Add items popup, and cases are always added as a whole. However, each item of a case has to be reviewed separately.
Procedure to publish a review task
Proceed as follows to publish a review task, so the reviewers can start reviewing the items:
- Go to the detail screen of the review task you want to publish.
- Click "Publish" in the top right corner.
Result: The popup "Publish review task" appears. - If you want to change the status of all items in the review task at once, select the new status.
- Click Publish.
Result: The status of the review task changes to "Live", and the selected reviewers receive an e-mail notifying them of the task that is assigned to them.
Procedure to close a review task
Proceed as follows to close a review task, so the reviewers can no longer access it, even when they have not completed the review yet, or even when the deadline has not passed yet:
- Go to the detail screen of the review task you want to close.
- Click "Close".
Result: The popup "Close review task" appears. - If you want to change the status of all items in the review task at once, select the new status.
- Click OK.
Result: The status of the review task changes to "Closed", the selected reviewers receive an e-mail notifying them that the task has been closed, and the reviewers can no longer access the task.
